Version Date: 02/24 Funerals Funeral = a service where body or ashes is present Memorial= service without body or ashes +++ Funeral Inquiries IF SOMEONE CALLS THE OFFICE INDICATING THAT SOMEONE IS DYING; IT IS CRITICAL TO REACH REV ANNE IMMEDIATELY. CALL OR TEXT! IF UNABLE TO REACH ANNE WITHIN ½ HR CALL Rev Pam, Bishop John, LYNN FAIREY OR GWEN CHAPMAN. IF ANNE IS AWAY, CALL HER DESIGNATE IMMEDIATELY. IF UNABLE TO REACH DESIGNATE FOLLOW CONTACT LIST ABOVE. IF YOU RECEIVE A CALL THAT A MEMBER OF OUR PARISH HAS DIED , FOLLOW THE ABOVE PROTOCOL. General funeral/burial Inquiries When someone calls or emails to enquire about a funeral, please express your condolences for the death of their loved one. You can refer them to the pamphlet on our website under Worship> Celebrations of Life. Please collect: Name and contact information of caller Name of deceased and relation to caller Funeral and/or burial? If burial, do they have a plot purchased in our cemetery? If not, please do share with them that as of 2015, the cemetery is dedicated to members of the Anglican church and churches in communion with them. For more details, they can speak with Anne. Anne can certainly do burials in other cemeteries. · Anne will contact to arrange a time to meet and plan the funeral. Pre-Funeral and/or Burial Funeral Burial Pull file for individual and if there isn’t one, start one. Add funeral date to all calendars and Mission Matters Search online for an obituary and print out for file, scan for database and forward via email the document to Judy Johnson. Once instructions are received from priest: o prepare/print funeral leaflet If directed by priest, contact caterer. Unless instructed otherwise, the family pays the caterer directly · Reference Cemetery Database for information on plot/rights holder/etc. From the filing cabinet pull file for individual and if having funeral place in funeral file or create burial only file if no funeral planned · Print necessary Cemetery Forms (as outlined in cemetery database) · Once instructions are received from priest, arrange with Cody Klassen for grave open/close Keep all records, including records of persons contacted and details of conversation in the active funeral file. Post-Funeral/ Burial Funerals Burials · Record information in Burial Record Book and leave for priest to sign · If funeral only (no burial in St. Andrew’s Cemetery) place file in the funerals section of the file cab. · Update all records o Year birth/death on file tab Update all digital records on St. Andrew’s Cemetery Database · o · Complete file with copy of leaflet, forms, cremation certificate and any other pertinent information. Complete an electronic file in dropbox with leaflet and other electronic files. All documentation must be entered into cemetery database · Complete and send out invoice (eg: if musician or burial costs incurred). · Ensure receipt is written for any donations to the church and leave for Anne to write a thank you note.
